Membership Data

Menu
  • Enter: New members are added with the help of a mask. When you click on 'Save and new Row' of the current membership status is displayed.
  • Edit individually: Member's data are edited with the help of the same mask. You select from M.No. or Names.
    Under Selection to yourselves first a list which you can process then.
  • Families Edit: Member's data of a family are edited without input mask as a table and only the most important fields are indicated. This makes sense, e.g., by fee updates or member-withdrawals. You select from M.No. or Names. In contrast to the Menu dot 'Edit individually' stamped out members with are also indicated this year (A/E/0 stands on '0'!).
    You yourselves can formulate under WHERE... a choice condition.
  • Tables Edit: All member's data are indicated like in a tables calculation and can be edited and all fields are indicated.

  • Check It!: With 'Check It!' becomes on missing I.Nr.=1, wrong A/E/0 and other criteria examined.

  • Export: You can save the member's data for the purpose of handing over near another computer in an external file – from an selected booking entry date. It carries the name 'midat_jjmmtt.csv'. (A complete encoded tables backup is automatically created monthly, 'mi_mm.vep'.)
    You receive at the same time from employees, so to members whose field fkt isn't empty and whose e-mail address is filled, a '[club name]_jjmmtt.ldif' for transmitting into a Thunderbird address table of every Client.
  • Import: You can load member's data from this external file in another computer. The data are attached to the table.
    Pay attention to double M.No.+I.No., otherwise the consistency of the database is endangered!

  • Archive: New members are added with the help of a mask. The input mask contains only the entries M.No. and I.No., Name, First Name; the fields Birthday, Entry year, Divisions are taken over from the member's data. In the text field data can be entered consecutively to the member.
    Archive data are indicated with the help of the same mask or are edited. The data can be printed out as an index card or as a list.
  • Non-members: New addresses are added with the help of a mask or are edited.
  • Deleted Members: During the last 10 years deleted members to browse.

Membership Lists

Menu
  • Whole Club: Membership list of all club members; contains all data to the member.
  • New Members: how Whole Club, but only new entries of the current year. The field ejj (entry year) must be filled.

  • Divisions: Division lists; if the data which are necessary to the fee elevation don't contain. You select by divisions.
  • Age Groups: Membership list for members of a freely eligible age group (without fee data). You select by divisions.
    • Children: Membership list for members to 6, between 7 and 11 or between 12 and 14 years.
    • Youth: Membership list for members between 15 and 18 years.
    • Seniors: Membership list for members from 61 years.
    • Div. by age: Membership list for members of a freely eligible age group.
  • Employees:
    • Employees list: Membership list for the members who exercise a function in the club (without fee data).
    • Functions: Function list for the members who exercise a function in the club, ordered by functions.

  • WHERE...: You can formulate yourselves a choice condition, e.g., WHERE mail IS NOT NULL (and mail the field with the e-mail address is).

Birthdays/Honours

Menu
  • Birthdays:
    • round Birthdays: Birthday list of those members, 50, 60, 70, 75, 80 years and become old. 3 months are always displayed. You are asked by month and year.
    • all Birthdays: Birthday list of all members. You select by divisions.
  • Honours:
    • Honours list: Honour list for the members who have received an honour in the club, ordered with honour.
    • Honours Needle: Honour list of those members who are, e.g., 25, 40 and 50 years in the club, calculated, e.g., from the 18th year (e.g., honours needle in silver, in gold, honourary membership). Honour ID = Ehr1, Ehr2, Ehr3.
    • Actives Needle: Honour list of those members who are, e.g., 10, 20 and 30 years in the club, calculated, e.g., from the 14th year (e.g., actives needle in bronze, in silver, in gold). Honour ID = Akt1, Akt2, Akt3.

      —> Honour kind and honour year are to be set about the Honours stock.

Statistic

Menu
  • Whole Club:
    – Membership active/passive Adu./You.
    – Age groups according to sports alliance m/f.
    – Entries/escapes of the last 5 years of Adu./You.
    The list can be often printed out arbitrarily, the data are not stored.

  • Members Inquest:
    – Membership with sports and age groups according to sports alliance and by years.
    These data are stored and can be worked on for representation purposes and be printed; csv und xml files for sports alliance.

  • Statistics:
    • Sports Divisions:
      – Membership Adu./You. m/f.
      These data are stored and can be worked on for representation purposes and be printed.
    • Age structure:
      – Membership m/f/Sum.
      – Age groups according to statistical regional authorities.
      These data are stored and can be worked on for representation purposes and be printed.
    • Population pyramid: Value row for a population pyramid as csv file for representation purposes.
  • Frequencies:
    Membership by
    – divisions, banks, fee classes, honours, functions,
    – entry years, years of birth, post code, streets, places of residence.

Letters

Menu
  • Admissions Letter: Print of a confirmation letter on club note paper. You are asked for the Memb.No. The admission text can be adapted in the file 'aufnbf.rmd'.
  • Termination Letter: Print of a termination letter on club note paper. You are asked for the Memb.No. The termination text can be adapted in the file 'kndgbf.rmd'.
  • Exclusion Letter: Print of a exclusion letter on club note paper. You are asked for the Memb.No. The exclusion text can be adapted in the file 'aussbf.rmd'.

  • Circular Letters: You provide your circular with Textmaker, Writer or Word, without address and date, and store it as a RichText in the file 'rundschreiben.rtf' and file it in the folder \cmnd. In the menu you select a receiver's group.
  • Circular Emails: You proceed like in circular described. The file 'rundschreiben.rtf' is sent as an appendix.

  • Address Labels: Addressing data are printed on sticking labels.
  • Mail Merge Data: Addressing data become in two external ASCII files
    'addat.csv' with , as a separator and embedded in '
    'addat.txt' with firm record length
    and can be copied with every word processing be used.

    Receiver's groups with Circular Letters, Circular Emails, Address Labels, Mail Merge Data:

    • Family Club Place/Postal Service: All members with I.No.=1 which live at the club place/district (post code of the club address!) or not live there.

    • All Division Members: All members of a division or all whole club.
    • Divisions by Age: All members of a division of the respective age group.
    • All Employees: All members with a function in the club.
    • Employees by Function: All employees according to function code.

    • Honours Needle: Everybody in the concerning year honourary.
    • Actives Needle: Everybody in the concerning year honourary.

    • Round Birthdays: All with round birthday in the concerning month.

    • No-members: Well-chosen non-member's groups.

    • WHERE: You can formulate yourselves a choice condition.
    • E m p t y T a b l e : You are able to do the temporary table fill.
    • Test print: Print of a letter or the first etiquette sentence to the examination of the correct paper adjustment.

      —> The receivers are interstored in each case in a temporary table and to you before printing are indicated. You can carry out in this changes and also give new receivers. With non-desired you extinguish the name or the whole record.

  • Change Protocol: Print of the change protocol with day date.

  • Member-admissions: List of all entered members of a certain year.
  • Member-withdrawals: List of all resigned members of a certain year.
  • Member Numbers: List all used M.No.
  • Passives: Print of passive lists for club and tennis.

  • Newspapers: Print of newspaper lists of the members with 'Z' in its data, sorts according to post code, district, street, no., for club place and postal service. If you want to add town plans of the districts in the club place for the distributors, these must be given as 'district-id.jpg' in the folder /icons.
  • Divisons Adresses: List of the members as a print pass. You select by divisions.
  • Mailing Lists: Print of the mail list of the members. You select by divisions.

Help Members Form
Members Data
  • A/E/0: A=Admission, E=Change, 0 (Null)=Deletion of a member. Deleted members are preserved 10 years for the statistics.
  • Date: The date is important for the Change Protocol.
  • M.No. I.No.: Members with common fee calculation must have identical member's numbers (vice versa: The members of the family who pay separately also have to go own M.No. agree)! Number consecutively behind the dot: Single member or family chairman (payer) =1, members of the family with age =2,3 etc. (sort order with the list printing). Identical M.No. + I.No. are rejected! M.No. always fill in forwards with '0' (4-figure). M.No. and I.No. are like most codes text values!
  • Name First Name: For the list printing should agree surname, don't have to do it, however (for 'Families' is valid resembles M.No.). For pairs with divergent Names perhaps this with in the field First Name or Payer take.
  • Home phone: Phone entry alternatively (for employees).
  • Cell phone: Phone entry alternatively (for employees).
  • Email: Email address entry alternatively (for employees).
  • Street No.: are administered in separated fields, because of better assortment. Select streets at the club place with right click.
  • Zip City: Both fields are automatically put if Street exists in the master data.
  • M/W: Field male/female is important for statistics.
  • Z: Members with 'Z' receive club communications, release otherwise.
  • Birthday: The date of birth must be always entered.
  • EY: Entry month or (by deleting) Exit year.
  • ExY: Exit year.
Bank Account (only for I.No. 1 to fill)
  • Payer: Name of the payer if the member isn't the account holder.
  • BC: Bank code number. It must exist valid, i.e. in the stock data. It is entered only once family (resembles M.No., I.No. =1)! It is the sign for debit missions. With invoice positions becomes '00000000', for standing orders '11111111' entered.
  • Acc.No.: Account number (see bank code number). Release with invoice positions and standing orders.
  • T: With tennis members with 'T' in the field is also debited the tennis fee (or special fee 1) (from the same account), otherwise invoice is created.
  • IBAN: IBAN No.
Function/Honour
  • Function: Functions in the club. Max. 6 function keys are able to do it according to stock data entered.– Choice with right click.
  • Honour: Present honour. Max. 6 honour keys can be entered according to stock data.– Choice with right click.
  • Divisions
    • A1 A2 A3 A4 A5: Division code for max. 5 divisions according to stock data. Passives club members receive the entry in '99', tennis passives in '98'. To these keys refer division lists – not division fees.– Choice with right click.
    • P: At the free possession! For remarks, e.g., not desired birthdays enter *.
    Fees
    • B0: Fee code for the club fees according to stock data. The fee is computed either every three months, every six months or yearly (according to entry in the club stock).
      With the member with I.No. =1 the fee codes of the remaining members of the family are also entered. To right input is to be respected, because the club fees are computed exclusively out of this!– Choice with right click.
    • B1 B2 B3 B4 B5: Fee codes for max. 10 divisions contributions from the club stock (double seizure). Fee 1 is, as a rule, a tennis. The fees are computed either every three months, every six months or yearly (according to entry in the club stock). The fee codes are entered according to stock data.
      With the member with I.No. =1 the fee codes of the remaining members of the family are also entered. To right input is to be respected, because the division fees are computed exclusively out of this!– Choice with right click.
